Marketing Department Administrative Assistant

Position Summary: The Marketing Assistant will support New Generation Construction as a Department Administrator. If you’re a warrior with data, documents and organization, we’d love to hear from you! NGC is seeking a new team member to support our in-house marketing department with data entry, forms, platform uploads-downloads, research tasks, proofreading, content publishing consistency and archive management. NGC’s in-house marketing department is responsible for a lot of exciting endeavors from branding and advertising to promotion and interaction (strengthening connections and networking among clients, partners, employees and the community)! NGC is an innovative, high-energy, collaborative, cutting-edge, conscientious general contracting firm that is growing, and champions a rewarding, cross-team, positive culture.

Full-Time, Day Shift, Monday to Friday 8:00 am to 5:00 pm with some deadline or event hours

 

Essential Functions: Administrative support for NGC’s Marketing Department
Assist with Advertising-Branding-Promotional Communication & Business Development Efforts:

– Data entry, reporting, contact info, tracking, online platform uploads, downloads, photo archiving, file-naming, files on servers, explorer file trees, emailing, writing, calendaring, scheduling, internal-external communication assistance, research, studies, registrations, forms for events, trade shows, sponsorships, booth participation, bookings and preparations (lunch & learns, charities, scholarships, promotional item organization and readying prizes or auction packages), high attention to detail.

– Support consistency across variety of channels and formats with intelligence, intuition, warmth, cohesion and conveyance (internal and external communication for print or electronic postings)

– Oversee CRM (Hubspot) Database, Data Management, Info Research (clients, targets, trends, profiles)

– Assist with eNewsletters, emails, eBlasts, eVites & Invitations, Blogs, Press Releases, PR articles, Stats, Surveys, Collections, Reports (Social Analytics (Google, Facebook, LinkedIn, YouTube etc) and Photo- Video- Music- Graphic- Production can be added over time with training)

– Assistance with any efforts as assigned: Events, Trade Shows, Proposals, Focus Groups/Feedback, Task Assignments/Follow-up, Housekeeping, Inventory, Orders, Organization, etc

– Become immersed/comfortable with Construction Industry Publications, Trade News and Marketing Trends

– Willingness to learn and/or attend any training for continuing education purposes

Other Tasks: 

  • Represents NGC as a positive ambassador; follows NGC brand standards
  • Follows all policies and procedures set forth in the Employee Handbook and Company Safety Program
  • Achieves personal growth and teamwork goals


Skill Knowledge and Ability Requirements:

  • Required Skills: MS Outlook (Excel, Word, PPT), Adobe PDF (Acrobat or similar) Calendars, Scheduling, and Online Technology (websites/internet, ePortals, eSubmit, ePlatforms, eDocuments, eSignatures, Zoom, Teams, Digital Communication Tools, etc).
  • Preferred Skills: Social Media, Photography (Photo-Taking, Photo-Manipulation), CRM (Hubspot or similar to SalesForce/Desk), ePlatform (ProCore or similar), Intranet (SharePoint or similar posting platform).
  • Deliver high-quality, accurate, complete and well-organized work
  • Excellent writing, editing, communication, computer/technology, time-management and critical-thinking skills
  • Prioritization; Handle multiple tasks with various deadlines
  • Self-motivated, disciplined, outgoing personality, team contributor


Physical Requirements:

  • Punctual, regular, and consistent attendance in the office
  • Must be able to sit or stand at least 85% of the time
  • Frequently communicates with internal and external contacts; must be able to exchange
    accurate information in these situations
